User permissions and how to change them

Manage staff access by setting permissions, restricting settings changes, and controlling site access.

⚠️Important: You must have Manage Permissions enabled for your user to complete these steps. Please reach out internally to your head office to grant you the necessary user permissions.

  1. Click Settings, then click Users.

  2. Click Edit by the relevant user.

  3. Select the user type:

    • Read-Only User: Can add walk-ins, change the status of bookings in live service, and change the number of guests when checking in bookings, only. They cannot manage enquiries, move bookings around tables or deal with any bookings that aren't for today.

    • Restricted User:

      Has the same access as the Read-Only User and can only add bookings as per the booking type and availability parameters. Restricted Users can add and take enquiries in Access Collins, plus confirm bookings up to a certain amount of people, which is determined from the permissions tab of your site settings, and send them a confirmation email. They cannot add payments or pre-orders in enquiries nor download any data or see any reports.

    • Bookings Manager: Everything a Restricted User can do and confirm any size bookings and view basic reports, take payment and pre-orders. Bookings Managers can also close bookings for the same day from the Access Collins dashboard. You can set the below extra permissions for Bookings Managers:

Manage user access in Access Collins by adding new users and modifying their permissions.

View Customers

Access the customer database without downloading any data, including the Enquiries page download.

Download Customers

Has access to view and download the customer database, including customer data from the Enquiries page.

Manage Refunds

Can refund a payment.

4. To edit which sites a user can access look under sites. Either check all sites or type in the name of the site that you want the user to have access to, the site will appear in a list, you just need to click on the site.

5. For the new settings to take effect, ask the user to refresh their page.

  • They may need to fully log out and back in.

📌Note: Make sure to assign at least one site to the user; otherwise, the Save button won't function.
