In this article, you will find tools to help you manage your bookings and walk-ins in live service.
📌Note: Even though this section is called Diary settings, these tools will apply to the Floor plan and Run sheet sections as well.
Set up same-day default booking durations
To set up a default time on your same-day walk-ins so it's quicker to add them into the Diary/Floor plan in real-time service:
Click Settings, Sites and select the site.
Click Diary settings.
Make the default durations for 1 – 6+ walk-in covers.
Click Save.
Once this is added, when you go to add a walk-in booking in the Diary or Floorplan, the durations will be auto-filled for you, making it that much easier to keep on top of a busy service.
📌Note: Setting up the duration for 6+ is linked to the Add Booking button found on the Diary or Floorplan
Configure booking stage automation
When working in live service, you can use the check-in panel to manually mark when bookings have arrived, ordered, paid etc. and eventually Left. Once a booking is marked as Left this is then moved out of the Bookings list and into Finished Bookings list.
To make sure that all bookings are marked as Left when their booking has finished:
Click Settings, Sites and select your site.
Click Diary settings.
Check Enable Under the Booking Stage Automation.
Click Save.
⚠️Important: Changes to this section may take up to 5 minutes to come into effect.
Enable table assignment
Particularly if you enable Collins to auto-confirm bookings for you, it’s really important that your team are manually assigning tables to bookings or enquiries to book out or provisionally hold tables respectively.
Without doing this Access Collins will not know your venue’s actual availability and won’t accurately know whether auto-confirm bookings can be confirmed or not.
Make sure that all bookings and enquiries entered into the Diary, Floorplan and Runsheet have been assigned to a table:
Click Settings, Sites and select the site.
Click Diary settings.
Check Enable under the Table Assignment section.
Click Save.
Once this is activated, you would not be able to confirm a booking or add an enquiry to the Diary, Floorplan or Runsheet, until a table is selected from the Assigned to Areas section.
📌Note: Table assignment for enquiries will only be mandatory if added into the Diary, Floorplan, Runsheet.
If your team is adding new enquiries using the New Enquiry form on the Enquiries page, the option to assign & provisionally hold tables remains optional to the user.
