Set up and use booking stages

Create and use booking stages from the Diary or Floorplan.

If you are using Access Collins for live service and are actively checking bookings in, you can go into further detail by marking which stage the booking is at in real-time.

You can create your own booking stages such as Partially Seated or Dessert and create different colours for these stages.

Use booking stages

In either the Diary or the Floorplan view, the booking stages can be changed once the booking has been checked in using the TICK box in the check-in list next to the customer's name.

When clicking on a customer’s name in the check-in list in the left-hand column, a new window will appear showing more details regarding the booking. The different stages will appear here and can be appropriately selected.

Once a stage has been selected, the booking will also appear in both the Diary and Floorplan, highlighted with the corresponding booking stage colour.


Set up booking stages

You can set up booking stages at either the venue group level or at each individual site.

Set up booking stages at the site level

If setting up at the venue level:

  • Click Settings, Site, and then choose the site.

  • Click Labels & Colours.

  • Scroll down to Booking Stages.

  • Click Use custom stages to create venue-specific stages.

  • Use suggested examples or click Add Another to name a stage and assign a color.

📌Note: Left is a default stage which cannot be edited or removed, and we'd recommend keeping Arrived as the first stage. Once a booking is marked as left, it is moved to the section at the bottom of the check-in panel on the left-hand side and will show under finished bookings.

Set up booking stages for the organisation

To create stages at the group level:

  • Click Settings, then Organisation.

  • Click Labels, then scroll down to Booking Stages and follow the same steps as at the site level.
