Take bookings automatically from phone calls with Collins Call.

Collins Call definition

Collins Call is a bolt-on that you can use alongside Access Collins. Customers can make bookings through Collins Call, these are then automatically added to your Access Collins account.

To activate Collins Call, please contact your account manager. We provide you with a phone number to add to your website and marketing for customers to call directly, or you can set up a divert on your current phone number to direct calls to Collins Call.

Collins Call mimics the availability settings you've set for your sites including close times, limit arrivals, zone priorities etc. There are two ways Collins Call pulls through to your system, clean bookings and non-clean bookings:

  • Clean bookings: Require no payment or pre-order and can be auto-confirmed in compliance with your availability.

  • Non-clean bookings: Requires a payment, pre-order or is an enquiry.

Additional information:

  • If the customer chooses an unavailable time, they're offered alternative times on the Collins Call.

  • If the customer calls from a landline and:

    • It's a clean booking: The booking is still made and the customer is informed on the call, but they won't receive a confirmation text. The booking is linked to the number they've called from.

    • It's a non-clean booking: An enquiry is still created and the customer is informed that you will be in touch to discuss their enquiry.

Clean bookings

The flow of a clean Collins Call call is as follows:

  1. The customer calls your Collins Call number.

  2. The automated system takes the details:

    • Number of guests.

    • Booking Type.

    • Time.

  3. The customer gets a text confirming their booking.

  4. The booking is automatically placed in your Access Collins system.

Non-clean bookings

The flow of a non-clean Collins Call call is as follows:

  1. The customer calls your Collins Call number.

  2. The automated system takes the details:

    • Number of guests.

    • Booking Type.

    • Time.

  3. The customer gets a text message and clicks the link.

  4. An enquiry details page opens for them to:

    • Enter their contact information.

    • Add any special requests.

    • Confirm that they've read the booking policy.

  5. The customer clicks Enquire Now.

    • If they don't complete the above steps, it's an incomplete booking and doesn't show on your Diary.

  6. The booking is automatically placed in your Access Collins system.

📌Note: The booking will not contain the customer's name or email address.


View bookings in Access Collins

On a call

If a customer phones you to discuss a Collins Call booking, the quickest way for you to find it is by entering the booking reference number, which they receive in their confirmation text, into the search bar.

Alternatively, you can take the time and date of the booking and find it in the check-in list in your diary.

View clean bookings

To view your clean booking details, follow the steps below:

  1. Click Diary.

    • Entries made from Collins Call are titled Collins Call.

    • In the Bookings list, Collins Call entries have the lightning image.png icon.

  2. Click the diary entry, then click View Booking.

View non-clean bookings

To view your non-clean booking details, follow the steps below:

  1. Click Diary,

  2. The enquiry sits at the top of the diary. Click the enquiry.

    • Collins Call entries have the phone image.png icon and the text Placed using Collins Call.

Filter Collins Call bookings

You can filter for Collins Call bookings in the diary by following the steps below:

  1. Click Diary, then click Filter.

  2. Under Booking attributes, select Collins Call bookings.

  3. Click Apply.

To see how many bookings and enquiries you've received through Collins Call, you can run a report following the steps below:

  1. Click Reports.

  2. Click Source breakdown.

    • You can see how many bookings you've taken, how many guests, the value of the booking, etc.

  3. You can now click:

    • Download: To download a copy of the report.

    • Print: To print a copy of the report.

List Collins Call bookings only

To see a list of your bookings and enquiries, follow the steps below:

  1. Click Enquiries, then click Add Filter.

  2. Select Source, then select Collins Call.
