Read the Diary page

The Diary page is a grid view of your bookings for the day, including your opening times and the number of covers you have coming in every 15 minutes. This runs from your opening times, but if you have any booking types that start earlier, the diary displays an extra hour at the start.

If you have more than one site, you can click the site name in the top left and then select the site you want to view.

Other details on this page are as follows:

  • On the left is the table number, with the seated and standing capacity.

  • The New / open enquiries row shows you any new enquiries.

  • The Unassigned row shows your confirmed bookings that you've not yet assigned to a table.

  • Your bookings for the day display in the time slot on the assigned table.

    • For bookings that require more than one table, the original booking is in colour, and the additional reserved tables are in grey with the same booking information.


Warnings meaning in the Diary

A warning could be for:

  • A red bar beneath a booking: The booked table is too small for the group.

  • Orange shading through a column: You may have overridden other rules.

  • Greyed-out rows: Shows your closed-off tables.

Further options on the Diary

You can complete a number of tasks and change the view of the diary using the available options.

  • Diary notes: Manually enter any notes you want to make your staff aware of.

  • Download/Print: Click Download/Print and select one of the printable options:

    • Short run sheet.

    • Guest list.

    • Guest list spreadsheet.

    • Place cards.

    • Reservation labels PDF.

    • Reservation labels doc.

    • Kitchen sheet.

  • Heads In: For a quick view of how many covers you have coming in and out every 15 minutes, click Heads In. This is useful for your kitchen staff, so they can determine how busy they'll be at any time.

    • You can print this view from this page.

  • Click Options for the following additional options:

    • Set a compact layout: This is useful for smaller screens.

    • Group by zone: Puts all tables in order of zones.

    • Include cancelled: Includes cancelled bookings on the diary.

    • Close areas: To close off a table, click Add Another and fill in the details. Click Save, then click Save again.


Check-in list

In the left-hand panel, you can see your check-in list. If this isn't displaying for you, click the people icon.

This shows you the number of covers for the day, and if there's anyone on your guest list. You can scroll through the panel to view your bookings, open queries, left, and no-shows.

You also have the following options here:

  • To check in a group, click the tick image.png by their booking.

  • For a condensed view of your tables and areas, click more>>. Here you can see if there are any warnings.

  • To find specific booking types, zones, labels, or booking attributes, click Filter and use the filters, then click Apply.

  • Space Optimiser: This helps you make the most of your tables and bookings.

  • To view the Expand panel, click a booking. This shows any extra details about the booking, and you can make changes to the booking.
