To view and download the Pre-order summary and Pre-order list reports, you must have the user's permission to view and download reports. Without this permission, the reports section will not be visible to you.
Once you have the permissions to download the reports, follow the steps below:
Click Reports, then select either:
Pre-order summary report.
Pre-order list report.
You can view the report on screen. For more information on the data presented, please see the sections below.
In the top-right corner, click either Microsoft Excel or PDF format.
Pre-order summary report
This report shows the value of all pre-orders you have coming in over a specified date range, which can be amended using the booking date filter.
📌Note: The value only includes completed pre-orders and doesn't include order-level discounts. This will default to show the past month's data
The value of pre-orders is split into three categories:
Food.
Drinks.
Others.
⚠️Important: To make sure everything shows up in the Pre-order summary report, each item added to Access Collins must have a Type assigned, including custom items you add manually.
If you have multiple venues in your group, the report will show values for individual venues first, then a total across all venues at the end.
To download the Pre-order summary report, use the options in the top-right corner to select either Microsoft Excel or PDF format.
📌Note: The value column in this report doesn't show pence for readability, but pence will appear once the report is downloaded into Excel.
Pre-orders List report
This report shows a list of all items customers have ordered for their bookings, within a specified date range. The report defaults to show the previous month's pre-orders and can be amended to show an unlimited date range of data.
⚠️Important: The download can display pre-orders for up to 500 bookings. If your search exceeds this limit, a warning will appear at the top of the download. In this case, select EMAIL in the top right corner to have reports with more than 500 pre-orders sent to your inbox.
You can download this list into an Excel spreadsheet to give to your kitchen or to use for stock orders.
The Excel will include the following details:
Booking ID.
Status.
Venue.
Date.
Booking time.
Area.
Customer.
Package.
Options.
Type.
Sub-type.
Seat.
Quantity.
Package time.
Currency.
Price for each.
Discount for each.
Total value.
Description.
Order comments.
Dietary requirements.
Both the Pre-orders summary and Pre-orders list reports can additionally be filtered by the venue if there is more than one venue within the venue group.
