⚠️Important: Before starting to close your bookings, please make sure you have the user permission to manage booking rules; otherwise, you won't be able to see the settings button on the top bar.
Create a new close booking rule
⚠️Warning: If you set an unavailable dates rule that finishes later than the closing time of the site, then it will shut the booking type/s for the entire day.
To set an unavailable date:
Click Settings, then click Sites and select the site.
Click Unavailable dates.
Under Close Bookings, click Close All Types of Booking.
To shut a specific booking type, click the booking type.
Click Add Another.
Populate the details:
Select the From date and time.
Select the To date and time.
To close for a whole day, select the same date in the From and To fields and leave ALL DAY in the time columns.
For full-day closures, in the Message field, enter a customer-facing message explaining why they can't book.
📌Note: Since 00:00 marks the beginning of a new day, closing bookings at that time requires setting the To" date to the following day.
If you're closing all types of booking, to internally notify the team, select Close Admin.
Click Save.
Copy a close booking rule
📌Note: This action is only applicable to specific booking types, and not to rules configured to close all types of bookings.
To create the same close booking rule for a particular set of booking types, you can use the copy an existing rule by following the steps below:
Click Settings, then click Sites and select the site.
Click Unavailable dates, then click the booking type.
Click Copy to other booking types.
Select the booking types to copy the rule to, then click Done.
Click Save.
Close bookings for a today
To close online bookings from now until close, follow the steps below:
Open your Access Collins dashboard.
Under Close Bookings, click now and close, and select specific times.
To close bookings from now until close, leave these as they are.
Click Close Bookings.
🤓Tip: To re-open the bookings, click RE-OPEN.
What customers see
Find out what your customers see in both situations.
Closed for the whole day
If you're closed for a full day, the date is shaded out in the calendar. If customers click the date, they get a pop-up advising them that the date is closed. If you entered a message advising why it's closed, they see this now, too.
Closed for specific times
If you closed bookings for a specific time, if a customer selects a date and booking type, those times display as Unavailable in the widget.
If the rule you have set exceeds your sites opening times, then your site will show as closed for the entire day e.g. if you set a rule to close bookings from 18:00 to 23:00 but your site closes at 22:30.
