⚠️Important: Before downloading the list of all your bookings, please make sure you have the download reports permission.
To get a list of all existing bookings, follow the steps below:
In Access Collins, click Enquiries.
On Status, use the filter tool and select All.
Click Download.
Within the Download option, select Include customer data.
To send the generated report to your email address, click Email.
The report columns explained
Apart from the general Booking and Contact Details the file also contains:
Booking Reference Number: Column A.
User assigned to the booking: Column B.
Follow-up: Column C.
Received Date: Column D.
Date the enquiry was taken: Column E.
Status Changed Date: Column F.
Date the enquiry was completed: Column G.
Venue Name: Column H.
Store Code: Column I.
Client first name: Column J.
Client last name: Column K.
Client Email: Column L - only if Include Customer Data was ticked before downloading, this is only visible when the user has View/Download Customers permission.
Client Phone: Column M.
Client Company: Column N.
Customer Requests: Column O.
Custom Field: Column P.
Client date of birth: Column Q.
Customer notes: Column R.
Number of guests: Column S.
Actual Guests: Column T.
Actual Spend: Column U.

Booking Action Labels: AX - last one - these will display in the remaining Columns.
If a user has the Download Customers user permission enabled, the download button on the enquiries page will bring up an options window where they can specify whether or not to include customer data in the download:
Email addresses.
Phone numbers.
Date of birth.
Customer notes.
Runsheet notes.
If this is ticked, the information, if it exists within a booking, will be displayed in the relevant columns.
If it is left unticked, this information will not be displayed, and the columns will remain blank.
⚠️Important: If the user does not have Download Customers permission enabled, no option to choose will pop up and the CSV will automatically download without the customer data displayed.
